Approve from your email or the staff app

What the buttons do and why you must be signed in.

Approvers do not have to open the admin portal to decide a request. When email actions are switched on for a request type in Settings, Approval workflows, each approver's email carries Approve, Reject and Return buttons.

A button works once, only for the approver it was sent to, only while the request is still at that step, and only for a set number of hours (72 by default). It opens a short page: approve asks you to confirm, and reject or return asks for a reason. Every rule is checked again at that moment, exactly as if you had decided from the Approvals inbox.

Why you sign in. By default the page asks you to sign in as yourself first, then opens again. That is what makes email approval safe: a forwarded email decides nothing, and a button pressed while someone else is signed in is refused. Your organisation can relax this for ordinary steps, but a step that cannot be delegated, such as a CEO sign-off, is only ever decided from email by its named approver, signed in.

From the staff app. Managers and heads of department can also decide in self-service under Me, Approvals. You see what is waiting for you, approve with an optional comment, or reject or return with a reason. You can add a comment or a file and read the request's trail.

The same checks apply everywhere: you never approve your own request, and every decision is recorded with your name and the time, including decisions made from email.
