Reopen or roll back a month
When each is allowed, what blocks it, and what happens to your inputs.
Approving a run locks its period, so the figures cannot drift. When a locked month has to change, there are two tools on Payroll, Pay periods, and they do different things.
Reopen corrects a month in place. Only a locked period can be reopened, and you work newest first: if a later period already has approved payroll, reopen that one first. The approved run is kept as history and marked reopened. Its loan and arrears recoveries are reversed, and its unpaid payment batches and unfiled remittances are cancelled. Fix the cause, run payroll again and approve it. The corrected run supersedes the old one.
Roll back undoes a rollover, as if it never happened. It works only on the latest period of a pay calendar. The period's runs, payslips, payment batches and remittances are removed, loan and arrears recoveries are reversed, and the previous period becomes current again. Period inputs are held and move to the period when it opens again. Pay items are kept; the rolled-back period simply no longer counts towards an item's number of periods.
Both tools are blocked while money or filings are out of your hands: payments already marked paid, lines sent to the bank or through a payout provider and not yet confirmed, remittances marked remitted, and cash advances paid out in the period. Clear those first, or correct the pay through next month's arrears. If payslips were already emailed, tick the acknowledgement to go ahead; staff then receive corrected payslips.
With the correction switches on in Payroll controls, a reopen or roll back becomes a request that someone else approves, and the requester can withdraw it while it waits. Every reopen and roll back is recorded in the audit log.
